2027 budget: software is quoted by process, not by screens

The last quarter is when next year’s budget gets built. In some October meeting someone will ask for “a number for the system.” The usual answer is a list of screens: customers, inventory, reports. That list does not say what happens when a payment lands, who approves, or which other system it has to talk to.

A custom web app is quoted by process: what comes in, who touches it, which rule applies, and what goes out. Screens are a consequence. If the process crosses into Hacienda, the bank, or the gateway, there is systems integration, and that gets budgeted from the start, not as a surprise in March.

What a useful quote needs from you

  • The process that hurts most, told in steps. One page is enough.
  • The systems that already exist and will not be replaced.
  • What has to work first. The rest goes in stages, each with its own number.

Quoting in stages also protects cash flow: you pay for what reaches production, and each delivery can be judged before the next one is approved.
